Send calendar invites for an event

Let people get a real email calendar invitation for your event, with native Yes, No, and Maybe buttons that add it straight to their calendar.

Calendar invites let someone get a real email invitation for your event. They enter their email on your public event page, AddCal emails them an invitation, and their mail app (Gmail, Outlook, Apple Mail, and others) shows native Yes, No, and Maybe buttons. When they accept, the event lands straight in their calendar, and any edits you make later sync to it automatically. Their reply comes back to AddCal so you can see who is coming.

Calendar invites are a Business plan feature. On the Free and Premium plans the Email calendar invites switch appears on the event form with a Business Feature badge, but you cannot turn it on until you upgrade. Invites count toward your monthly email send allowance, which is what limits how many you can send. See Managing your subscription, payments & invoices.

Turn on calendar invites for an event

  1. Open the event you want to send invites for, and edit it.

  2. In the time and RSVP section, turn on Email calendar invites.

  3. Save the event.

Your public event page now shows a form where visitors can enter their email and request an invite.

Hide the add-to-calendar buttons

By default your event page still shows the usual Google, Apple, and Outlook add-to-calendar buttons alongside the invite form. If you want people to use the email invite only, turn on Hide Add to Calendar buttons (invite only). This option appears once Email calendar invites is on and the event is not collecting RSVPs.

What the attendee sees

  1. On your event page they enter their email address and click Email me an invite.

  2. They receive an email invitation with native Yes, No, and Maybe buttons.

  3. Accepting adds the event to their primary calendar. Their response comes back to AddCal.

The invite is sent by email, so remind attendees to check their junk folder if it does not arrive.

See who is coming

Open the event to see its Invites tab (or, if the event also collects RSVPs, the invite status appears in the RSVPs tab). You get an attendance summary and a list of everyone invited, with their status: Sent, Accepted, Maybe, Declined, Pending, Bounced, Failed, or Cancelled. You can search the list, filter by status, and export it as a CSV.

For a quick read without opening the event, your events list shows an accepted / invited count on each invite-only event, so you can see how many people have accepted at a glance.

Resend, cancel, or add an invite

From the invite list you can:

  • Add invite: invite people yourself, without waiting for them to request one. Enter one email address, or several separated by commas to invite a group at once.

  • Resend: send the invitation again. To avoid duplicates, you cannot resend an invite that was just sent, so wait a few minutes.

  • Cancel invite: withdraw the invitation. AddCal sends a cancellation, and the event is removed from that person's calendar.

If an invite shows Bounced or Failed, it could not be delivered. Contact support to resend it.

Import a list of invites

To invite a whole list at once, click Import on the Invites tab. Upload a .csv, .xlsx, or .xls file with an Email column, map that column, and start the import. AddCal sends an invitation to each address. A file can be up to 2 MB and 500 rows; to invite more people than that, split your list across several files and import them one after another. Importing invites needs an active Business subscription with calendar invites turned on for the event, and the event must not have already passed.

Import only people who have explicitly agreed to hear from you. Importing cold, purchased, or scraped lists breaks our terms and anti-spam laws.

When you edit or delete the event

Changes are never sent silently. When you edit an event that has invites, AddCal asks you to confirm before it sends an update to attendees; accepting the update syncs the new details to their calendars. When you delete the event, AddCal asks whether to notify attendees, which sends a cancellation that removes the event from their calendars.

Turning Email calendar invites off just stops new invites going out. It does not remove the event from the calendars of people who already accepted.

Invites and your email allowance

Calendar invites, the update emails sent when you change an event, and the cancellations sent when you remove one all count toward your team's monthly email send allowance. The Business plan includes 5,000 of these sends a month. If your team reaches its sending limit for the period, new invites and updates are paused until the next period.
