Zapier integration

Connect AddCal to Zapier to create events automatically from any app and to fire a Zap whenever someone RSVPs, with no code.

Zapier connects AddCal to thousands of other apps so you can move data between them without writing code. A Zap is an automated workflow: a trigger in one app starts it, and an action in another app runs as a result. AddCal works both ways: it can create an event when something happens in another app, and it can start a Zap when someone RSVPs to your event.

The Zapier integration is a Premium feature. You need a paid AddCal plan to use it. See Managing your subscription, payments & invoices.

What you can build

  • Create Event action. Turn a trigger in any other app (a form submission, a new CRM contact, a payment, a spreadsheet row) into a new AddCal event.

  • New RSVP trigger. Start a Zap whenever someone RSVPs to one of your events, so you can send the response on to a spreadsheet, email tool, CRM, or chat app.

Connect AddCal in Zapier

  1. In Zapier, create a new Zap.

  2. When you add AddCal as the trigger or action app, Zapier asks you to connect your account.

  3. Authorize the connection so Zapier can act on behalf of your AddCal team.

Once connected, AddCal is available as both a trigger app and an action app in your Zaps.

Create Event action

Use the Create Event action to add an event to one of your AddCal calendars whenever your chosen trigger fires.

  1. Add a trigger step from the app you want to start from (for example a new form submission).

  2. Add AddCal as the action app and choose the create-event action.

  3. Pick the calendar the event should be added to.

  4. Map fields from the trigger to the event: title, start and end date and time, description, and location. You can drop in values from earlier steps so each event is filled from the incoming data.

  5. Test the step, then turn the Zap on.

The event is created in the calendar you selected, the same as if you had added it in AddCal yourself, so it appears in your add-to-calendar links and embeds. For the underlying event fields, see the API documentation.

New RSVP trigger

Use the New RSVP trigger to start a Zap each time someone submits an RSVP. You first need RSVPs enabled on your event, see Collect RSVPs for an event.

  1. Create a Zap and choose AddCal as the trigger app.

  2. Choose the New RSVP trigger.

  3. Optionally scope it to a single event. If you leave the event blank, the trigger fires for RSVPs to any event on your team.

  4. Test the trigger. Zapier pulls in recent RSVPs (or a sample) so you can map fields.

  5. Add the action you want to run, map the RSVP fields into it, and turn the Zap on.

The trigger fires when a new RSVP is created. Updates to an existing RSVP do not start it.

What the New RSVP trigger sends

Each RSVP delivers three groups of fields you can map into your action: the RSVP itself, the event, and the calendar it belongs to.

Field

What it contains

Name

The name the person entered.

Email

The email the person entered.

Response type

Their answer: yes, maybe, or no.

Custom fields

Their answers to any custom questions on your RSVP form, if you use one.

Created at

When the RSVP was submitted.

Event

The event details, including its title and start and end times.

Calendar

The calendar the event belongs to, including its name.

The custom fields come from your RSVP form. To set up extra questions, see Custom RSVP and registration forms.

Turning it off

To stop a New RSVP trigger, turn the Zap off in Zapier. AddCal stops sending RSVPs to that Zap. You can turn it back on at any time.
