How do I automatically create add-to-calendar links in Zapier with AddCal

You can create an add-to-calendar link from any Zapier trigger in two ways. The AddCal Zapier app has a Create Event action, which is the no-code route and returns the per-calendar links ready to use. A Smart Link is a URL you build in any Zapier step, which works even in apps that only let you insert a link.

Option 1: the Create Event action (Premium and up)

  1. In Zapier, create a Zap and pick your trigger: a new form submission, a new booking, a new order, whatever should become an event.

  2. Add an action step, search for AddCal and choose Create Event.

  3. Connect your AddCal account when prompted. You only do this once.

  4. Pick the calendar the event should go in, then map the fields. Title, start and end are required. Pass an IANA time zone such as America/New_York in Timezone; without one the calendar's time zone is used.

  5. Test the step. The result includes public_url (the event page, where the reader picks their calendar) and one direct link per app: google_url, apple_url, outlook_url, office365_url and yahoo_url. Use them in the next step, for example an email or a Slack message.

  6. Turn the Zap on.

The event is created in your calendar like any other, so it also appears in your embeds and subscription feeds. For the field reference and the New RSVP trigger, see Zapier integration.

Option 2: a Smart Link in any step (every plan)

A Smart Link turns a URL into an event the first time someone opens it. Build the URL in any Zapier text field:

https://addcal.co/s/your-key?title={{Event title}}&date_start={{Start}}&duration=60&timezone=America/New_York

  • Get your-key from Connect, then Smart Links, in AddCal. The Link Builder there encodes the URL for you and keeps Zapier's {{ }} fields intact.

  • Use ISO dates such as 2026-05-24T15:00:00. Pass date_end or duration (minutes).

  • Add /google, /apple, /outlook, /office365 or /yahoo after the key to send people straight to one calendar instead of the picker, for example https://addcal.co/s/your-key/google?title=...

Identical parameters always resolve to the same event, so a Zap that fires twice does not create a duplicate. Smart Links work on every plan; the Free plan allows 5 Smart Link events a month. See Smart Links.

Send calendar invites instead of links

If you have the person's email address, the AddCal app also has Send Calendar Invite and Cancel Calendar Invite actions. The person receives a real calendar invitation with Yes, No and Maybe buttons, and an Invite Response trigger fires when they answer. Calendar invites are a Business plan feature. See Send calendar invites for an event.

The other direction: RSVPs into your tools

The New RSVP trigger fires the moment someone RSVPs, with their name, email, response and custom form answers plus the event they answered. Use it to send each RSVP to your CRM, mailing list or spreadsheet as it lands.

Common questions

Does the Zap create duplicates if it retries? Not with Smart Links; the same URL always maps to one event. With the Create Event action a retried step creates a second event, so add a Filter step, or dedupe in the trigger app, if it can fire twice.

Which time zone does the event use? The one you pass in timezone, otherwise the calendar's time zone. Use an IANA name such as Europe/London, not an abbreviation.

Is this on the free plan? Smart Links are, with a limit of 5 Smart Link events a month. The Zapier app needs Premium or above. The REST API is available on every AddCal plan and can be called from Webhooks by Zapier, which is a premium app on Zapier's side; see Developer API and Dynamic Links.

Can I do this without Zapier? Yes. Any tool that can open a URL can fire a Smart Link, and any tool that can make an HTTP request (n8n, Make, a HubSpot webhook action) can call the API. See Developer API and Dynamic Links.
