Once an event collects RSVPs, you can control what attendees receive (confirmation emails and reminders), how you stay informed (notification summaries), and how many people can sign up (attendee limit). You can also share a read-only attendee list with co-organizers. This article covers each setting and notes which plan it needs.
Where to find these settings
Open your event, go to the RSVPs tab, then open the RSVP Settings panel. Change any of the settings below, then click Save All RSVP Settings. The summary line at the top of the panel shows your current form, limit, notifications, confirmations, and reminders at a glance.
Confirmation emails to attendees
Confirmation emails are sent to each guest automatically when they RSVP. They include the event details and a calendar file the guest can add to their own calendar.
Under RSVP Confirmation Emails, tick Send confirmation emails to guests after they RSVP, then save.
RSVP Confirmation Emails is a premium feature, so it requires a paid subscription. On the free plan the setting is locked.
Reminder emails before the event
Reminders are sent automatically to attendees before the event so fewer people forget to show up. You can set up to two reminders per event: one a number of days before, and one a number of hours before.
Under Email Reminders:
To remind attendees days ahead, tick the first Send reminder box and choose a value from
1to7days before the event.To remind attendees on the day, tick the second Send reminder box and choose a value from
1to23hours before the event.
Click Save All RSVP Settings when you are done.
Email Reminders is a Business feature. If your plan does not include it, the section shows a Business Feature badge and an Upgrade to Business prompt instead of the controls.
Notification summaries to you
Notification summaries email you (the organizer) about new RSVPs, so you do not have to keep checking the dashboard.
Under RSVP Notification Summaries, choose how often you want to be notified:
Off: no email summaries.
Instant: an email for every new RSVP.
Daily: a summary sent once a day.
Weekly: a summary sent once a week.
RSVP Notification Summaries is a premium feature and requires a subscription. On the free plan the options are locked.
Limiting the number of attendees
Use an attendee limit to cap how many people can RSVP. Under Maximum Attendees:
Choose No limit to accept unlimited RSVPs.
Choose Limited to and enter a number (minimum
1) to cap sign-ups.
When you set a limit, a Message when limit reached field appears. This message is shown to people who try to RSVP after the event is full. The default is Sorry, we're out of seats for this event. and you can replace it with your own (up to 500 characters).
On the free plan there is a soft limit of 50 RSVPs per event. You will not be cut off automatically, but if you go past it you may be contacted about upgrading. Paid plans remove this soft limit.
Hiding the location until someone RSVPs
If you want the venue or join link revealed only to people who have signed up, turn on Hide Location Before RSVP. With this on, the location is only shown after a guest RSVPs.
This setting lives in the event's own settings (where you edit the event), not in the RSVP Settings panel. For events linked to a Zoom meeting, hiding the location before RSVP is applied automatically.
Preventing duplicate RSVPs
To stop the same person appearing twice, turn on duplicate prevention. Under Duplicate Prevention, tick Prevent duplicate RSVPs (match by email address).
When this is on and someone submits an RSVP using an email address that already exists for the event, their existing response is updated instead of creating a second entry.
Sharing a read-only RSVP list
You can share the attendee list with co-organizers without giving them access to your account. This generates a secret link that opens a read-only view of the RSVP list.
In the Share RSVP List banner, click Enable Sharing.
Use Copy to copy the link, or Open to view it yourself.
To revoke access, click Disable. The old link stops working immediately.
Anyone with the link can view the attendee list, but they cannot edit it. Treat the link as a secret and share it only with people you trust.
